Dry Dock, a specialist wine retailer, had an operational hurdle that was eroding time and, quite possibly, income: thousands of products, supplier price lists arriving as inconsistent PDFs, and a team left retyping every line into its Lightspeed point-of-sale system by hand. Different formats. Different VAT treatments. Mismatched naming conventions. Updating pricing sometimes took weeks, and every manual entry carried the risk of a costly human error.
This wasn’t a resourcing gap Dry Dock could hire its way out of. It’s a small business with no internal IT team, and the problem was too specific for off-the-shelf software but too resource-intensive to keep absorbing manually. That’s the gap a Mindworx Digital Pod is designed to close: a dedicated, managed team that moves fast, adapts as the brief evolves, and builds a solution that actually fits the business need.
The build
Rather than reaching for a generic fix, the Pod built a bespoke tool from the ground up: a web-based Price Pipeline. Using Vertex AI (Gemini), it reads supplier PDFs, intelligently extracts the pricing data, and matches it directly to the correct Lightspeed records with no manual intervention required.
The result was immediate. Tasks that had eaten days and weeks of admin time were reduced to hours, and Dry Dock’s team gained real confidence in their pricing accuracy, even when supplier data arrived messy or inconsistent.
It landed so well that Dry Dock didn’t stop at phase one. The Pod is now building a VIP tasting invite console and a far more sophisticated allocation mailer for high-end wine releases, turning two more manual, time-hungry processes into scalable, customer-engagement solutions.
Growth under pressure
Mindworx Digital Pods are staffed by graduates of the Mindworx Academy, and for many, this is their first real-world work experience. At Dry Dock, the team moved beyond abstract skills to master prompt engineering, PDF extraction and platform integration under real pressure with a live client. The project demanded ownership, resilience and clear communication. The bigger takeaway: they were capable of more than they’d initially believed by turning a tricky assignment into a lesson in continuous problem-solving.
In their words
Matthew, Dry Dock’s store manager, didn’t hold back on what changed:
“The Mindworx Digital Pod team were innovative and showed adaptability and resilience in the face of setbacks. I was surprised how quickly they understood the wine business and got to grips with our retail POS and online store software.”
On what it’s meant for a business without its own tech bench:
“Working with the Mindworx Pods team has allowed us to deliver at the level of a bigger and better-funded competitor. I would recommend Mindworx Pods to other small and medium-sized businesses without hesitation.”
Why it matters
This is what a Mindworx Digital Pod is for: dropping a capable, adaptable team into a business at exactly the point where a real operational problem is costing real time and real money, and solving it with something purpose-built, not generic. Dry Dock didn’t need more headcount. It needed the right skills, applied to the right problem, at the right moment.
